Refund Policy

This Refund Policy explains how Mitis Media handles refund requests across our different service types. Our goal is to be clear, fair, and transparent. If you have a billing concern, please reach out to us directly — we are always willing to have a conversation.
1. Overview
Mitis Media is committed to delivering quality work and being transparent about how payments and refunds are handled. This Refund Policy outlines what is and is not refundable across our different service types.
If you have a billing concern or believe a charge was made in error, please contact us directly. We will always do our best to address issues fairly and promptly.
2. One-Time Website Setup Fees
Website design and development projects require significant time and resources from the moment work begins. For this reason, one-time setup fees are subject to the following policy:
- Before work begins: If you cancel before Mitis Media has started any work on your project, you may be eligible for a full or partial refund of any deposit paid, at our discretion.
- After work has started: Once work has begun — including discovery, planning, design, or development — the portion of your payment covering completed work is non-refundable. Any remaining balance for work not yet completed may be reviewed on a case-by-case basis.
- After project completion: Payments made for a fully delivered and approved website are non-refundable.
We encourage clients to review proposals carefully and ask questions before approving and paying for a project.
3. Monthly Maintenance and Service Plans
Monthly plan payments cover the ongoing availability of services, updates, support, and management for that specific billing period. Because these services are made available immediately upon billing, monthly payments are generally non-refundable once the billing period has begun.
If you cancel a monthly plan, your service will continue through the end of the current paid period. You will not be charged for the following month after written cancellation notice is received.
Refund requests for monthly plans will be considered in cases where Mitis Media has failed to deliver the agreed services during that billing period.
4. Yearly Plans
Yearly plans are billed in full at the start of the service period. Because yearly pricing reflects a discounted rate for the full commitment, refunds for yearly plans are handled as follows:
- Within the first 14 days: If you have not yet received any meaningful service and wish to cancel, you may request a refund. These requests are reviewed on a case-by-case basis.
- After 14 days: Completed work and used service time are not refundable. If you cancel mid-year, services will continue through the end of the paid period, but no prorated refund will be issued for the remaining unused months.
If Mitis Media is unable to fulfill the agreed services for the remainder of the year due to circumstances on our end, a prorated refund for undelivered service time may be issued at our discretion.
5. Ad Spend — Google, Meta, and Other Platforms
Ad spend is the money paid directly to advertising platforms such as Google Ads and Meta Ads (Facebook and Instagram) to run your campaigns. Ad spend is paid directly to those platforms and is entirely outside of Mitis Media's control.
Mitis Media does not collect, hold, or process ad spend funds on your behalf. Any refund requests related to ad spend must be directed to the respective platform (Google, Meta, etc.) according to their own refund and billing policies.
Mitis Media's advertising management fees cover the time and expertise required to set up and manage your campaigns. These management fees are subject to the monthly or yearly plan policies described above.
6. Domain, Hosting, and Third-Party Costs
Certain costs associated with your project are paid to third-party providers and may be non-refundable by their own policies. These include:
- Domain name registrations and renewals
- Website hosting fees
- Software subscriptions, plugins, or platform fees
- Any other third-party tools or services purchased on your behalf
Mitis Media will inform you before purchasing any third-party service on your behalf. Once purchased, these costs may not be recoverable, and Mitis Media cannot guarantee a refund for them.
7. How to Request a Refund or Raise a Billing Concern
If you have a question about a charge, believe a billing error has occurred, or would like to request a refund, please contact us as soon as possible:

Please include your name, the service in question, the amount charged, and a brief description of your concern. We aim to respond to all billing inquiries within 2–3 business days.
All refund decisions are made at Mitis Media's discretion and are intended to be fair to both parties. We value our client relationships and will always try to find a reasonable resolution.
8. Changes to This Policy
Mitis Media may update this Refund Policy from time to time. When changes are made, the "Last Updated" date at the top of this page will be revised. Continued use of our services after any changes constitutes your acceptance of the updated policy.
